User Management
The Users page lets you view, search, and manage users who interact with your chatbot. Access it from Admin > Users in your admin panel.
Overview
Every person who uses your chatbot has a user record. This page helps you:
- See who's using your chatbot
- View user activity and chat history
- Deactivate problematic users
- Review user audit logs
User List
Table Columns
| Column | Description |

| User's email or guest ID | |
| Customer ID | External customer ID (from integrations) |
| Status | Active, Unconfirmed, Deactivated, or Guest |
| Chats | Number of conversations |
| Created | Account creation date |
| Last Activity | Most recent action |
User Statuses
| Status | Description |
|---|---|
| Active | Email confirmed, account in good standing |
| Unconfirmed | Email not yet verified |
| Deactivated | Account disabled by admin |
| Guest | Anonymous user (no email) |
Guest users have IDs like g-123456789 - these are anonymous visitors using the chatbot without logging in.
Searching Users
Use the search bar to find users by:
- Email address (partial match)
- Customer ID (partial match)
Press Enter or click Search to apply the filter.
Sorting
Click any column header to sort:
- Email - Alphabetical order
- Status - By status type
- Chats - By conversation count
- Created - By registration date
- Last Activity - By most recent action
Click again to toggle between ascending and descending order.
User Details
Click any user row to open the detail dialog.
User Information

Profile Information
If the user has completed their profile:
- Name - First and last name
- Phone - Phone number
- Address - Full address details
Chats Tab
View the user's conversation history:

| Status | Active or Deleted |
Audit Logs Tab
View security-relevant actions by this user:

| IP Address | User's IP address |
| Time | When it occurred |
Audit logs help track suspicious activity and debug issues.
User Actions
Deactivate User
Deactivating a user prevents them from logging in or using the chatbot.
- Click the user row to open details
- Click Deactivate User
- Confirm the action
When to deactivate:
- Abusive or harmful behavior
- Spam or bot accounts
- Compliance or legal requirements
- User requested account closure
Reactivate User
If a user was deactivated by mistake:
- Click the user row to open details
- Click Reactivate User
- Confirm the action
The user can immediately access their account again.
Guest Users
Guest users are anonymous visitors who use the chatbot without creating an account.
Characteristics:
- No email address required
- No profile information
- Limited audit trail
- Session-based access
What you can do:
- View their chat history
- Deactivate (blocks by session)
Guest access is controlled by chat permissions in App Config:
- Guest - Anyone can chat without logging in
- Login - Must have an account
- User - Must have a verified email
Data Privacy
What's Stored
- Email address
- Profile information (if provided)
- Chat messages and history
- Activity timestamps
- IP addresses (for audit logs)
What's NOT Stored
- Passwords (authentication is passwordless)
- Payment information (stored securely by payment provider)
- Chat content after deletion
User Requests
- Users can request data export
- Users can request account deletion
- Deactivation preserves data but prevents access

Monitor regularly - Check for unusual patterns like rapid signups or excessive chats

Respond to abuse - Deactivate users who violate terms of service

Keep audit logs - Don't delete audit data; it's valuable for investigations

Protect sensitive content - If your chatbot handles sensitive information, require login

Document actions - Note why users were deactivated for compliance records
