Media Library

The Media Library is your central hub for managing images, videos, and audio files used in your chatbot. Access it from Admin > Media Library in your admin panel.

Shopify Users: This section is not available for Shopify store integrations. Product images are automatically synced from your Shopify catalog. See Shopify Billing for details on Shopify-specific features.

Overview

The Media Library stores all media files that can be:

  • Attached to products for rich chat responses
  • Used in chat conversations
  • Referenced in your knowledge base

Uploading Media

Drag and Drop

  1. Drag files from your computer onto the upload area
  2. Drop to start uploading
  3. Multiple files can be uploaded at once

Click to Upload

  1. Click the upload area
  2. Select files from your computer
  3. Supported formats: images, videos, and audio files up to 50MB

Upload from URL

  1. Enter a direct URL to an image, video, or audio file
  2. Click Fetch & Upload
  3. The file is downloaded and stored in your media library

Browsing Media

View Modes

ModeDescription
Grid ViewVisual thumbnails in a grid layout - best for browsing images
List ViewTable format with details - best for finding specific files

Toggle between views using the grid and list icons in the toolbar.

Search

Search by file name, title, or description:

  1. Enter search terms in the search box
  2. Press Enter or click the search button
  3. Click X to clear the search

Sorting

Sort your media by:

  • Date - Upload date (newest or oldest first)
  • Name - Alphabetical order
  • Size - File size
  • Type - Media type (image, video, audio)

Click the arrow button to toggle between ascending and descending order.

Media Details

Click any media item to view its details:

Preview

  • Images - Full preview with zoom
  • Videos - Playable video with controls
  • Audio - Audio player with controls

Information

  • File name
  • Title (editable)
  • Description (editable)
  • File type and size
  • Upload date
  • Uploader name
  • Direct URL

Actions

  • Copy URL - Copy the media URL to clipboard
  • Open - View the file in a new tab
  • Download - Download the original file
  • Edit - Modify title, description, and keywords
  • Delete - Remove the file permanently

Editing Media

  1. Click a media item to open details
  2. Click Edit
  3. Update the following fields:
    • Title - Display name for the media
    • Description - Additional context or notes
    • Keywords - Comma-separated search terms
  4. Click Save Changes

Adding titles and keywords improves searchability and organization.

Deleting Media

  1. Hover over a media item (grid view) or click to open details
  2. Click the delete button (trash icon)
  3. Confirm deletion

Warning: Deleted files cannot be recovered. If the media is attached to products or used elsewhere, those references will break.

Grid View Features

  • Hover preview - Videos play automatically on hover
  • Quick delete - Delete button appears on hover
  • File info overlay - Shows name and size at bottom of each thumbnail

List View Features

  • Sortable columns - Click column headers to sort
  • Compact view - See more files at once
  • Quick actions - Delete button in each row

Supported File Types

Images

  • JPEG, PNG, GIF, WebP, SVG
  • Recommended: WebP for best compression

Videos

  • MP4, WebM, MOV
  • Recommended: MP4 with H.264 encoding

Audio

  • MP3, WAV, OGG, M4A
  • Recommended: MP3 for compatibility

File Size Limits

  • Maximum file size: 50MB per file
  • For larger files, consider compressing or using external hosting

Best Practices

  1. Use descriptive titles - Makes files easier to find later
  2. Add keywords - Improves search functionality
  3. Optimize file sizes - Compress images and videos before uploading
  4. Organize regularly - Delete unused files to keep the library manageable
  5. Use consistent naming - Helps with organization and searching

Using Media with Products

Media from the library can be attached to products:

  1. Go to Data Management > Products
  2. Click a product to open details
  3. Click Add Media or Replace Media
  4. Select from the Media Library
  5. Media displays when the product is recommended in chat
